JOB SUMMARY: Performs a variety of legal secretarial and administrative duties for assigned attorney(s), many of which are unique to a legal environment and require a working knowledge of property casualty operations, legal concepts, terminology, and processes. As directed may be responsible for supervision, training and continuity of work flow in the work unit.

Job Description

Relationship: Reports to Managing Attorney or in office(s) with 10 or more direct reports may report to NTD Admin Specialist.

Core Responsibilities:

  • Maintains a working knowledge of filing fees, filing periods, court peculiarities and procedural differences of all courts and/or works compensation boards.

  • Prepares documents such as entries of appearance, notices of depositions, requests for production, and settlement documents by retrieving and using appropriate information from specific files.Etc.Prepares and monitors reports as requested.

  • Types complex legal pleadings, briefs, correspondence, memoranda, reports, discovery notices, responses and motions, ending with a final product suitable for filings.

  • Maintains a daily calendar in internal management system for attorney(s).Responsible for reminders to attorney(s) on all pleadings and discovery matters.Maintains centralized office calendar for attorneys being supported.

  • Schedules depositions, judicial conferences, meeting with clients, doctors and other counsel for assigned attorney(s).

  • Travels to courthouses to check court dockets and retrieve information on service of process, etc. and make filings with the Courts.Also, may travel to law offices or elsewhere to make filings, deliveries, and pick-ups.

  • Understands and maintains confidentiality in respect to the attorney-client privilege/relationship, HIPPA, trial strategies, Ethics rules, the identities of plaintiff, defense clients and claims customers.

  • Understand and has working knowledge of each file assigned to attorney(s), knows parties involved basic facts, general discovery, arbitration or trial status, and major discovery to be accomplished.Inputs and retrieves information through matter management system.

  • Answers telephone, takes messages, and handle more complex inquiries.Directs or redirects calls.

  • Performs other duties as assigned.

Typical Skills and Experiences:

Education: High school graduate or Associate’s degree or equivalent from two-year college. Related experience and/or training; or equivalent combination of educational and experience in order to gain an understanding of law office policies and procedures.

Experience: Formal technical legal secretarial training at a business or technical school preferred. Membership in professional secretarial organization preferred. Five years related experience in insurance defense required.

Knowledge: Requires extensive knowledge in legal concepts, terminology and processes. Operations, practices and procedures of a law office engaged in the practice of civil litigation. Filing procedures of the various courts handled by the office. Individual at this level performs all duties in an independent and productive manner. May also possess specialized knowledge in areas such as appellate work, subrogation, workers’ compensation and other areas as identified. Knowledge and experience with both Personal and Commercial lines of business.

Skills/Competencies: Ability to handle pressure, extended hours as needed, interruptions, and multiple projects with frequently changing priorities in an efficient manner, rapid turnaround as required, and generally perform in a fast-paced environment. Self-starter with ability to work independently, possess a willingness to help others. Excellent customer service and writing skills. Proficient in all areas of technical support and execution in the law of the jurisdiction so assigned and a strong working knowledge of all applicable software is required. Ability to adjust to multiple task from assigned attorney(s).

Strong writtern and verbal communications skills for contact and interaction with attorneys, support staff, paralegals, court personnel, policyholders and claims staff.

JOB CONDITIONS:

Overtime Eligibility: Eligible (Non Exempt).

Working conditions: Professional law office environment. Local travel to courts, law offices. Occasional overtime.
